Any and all group execs wishing to hire a vehicle should fully read the information carefully below. 


Registering as a driver


Everyone who intends to drive a minibus, hire car, van, or their own vehicle must register as a driver with the students' union at the start of every academic year. This is easily done by following this link!


Please make sure that before you start filling in the registration form, that you have a photo of the front and back of you card license ready to upload, and that you give permission for us to check with the DVLA to ensure you have no points.

What hire options are available to my group?


Minibus

All students' union activity groups are able to hire minibuses, which will allow individuals who comply with the following criteria to drive

  • age of 21
  • have held a full driving licence issued either by the United Kingdom or by another member state of the European Community
  • have a least two years driving experience
  • have no points on their license
  • have registered as a driver with the student's union
  • have taken the university minibus driver assessment
  • have registered as a driver with the students' union


There are three minibuses permanently on campus for the majority of each term.  These are leased from Marshalls Self Drive LTD, and will be allocated on a first come, first served basis in the following order. Sport Lancaster Plus Clubs are given priority, but these need to be booked at least two weeks in advance:

If there is a minibus available then it will be allocated for a society booking at a cost of £30 per day off peak (Mon, Tues or Thurs) or during peak times £50 (Weds, Fri, Sat & Sun). This must be paid by the society before the booking will be made.


If there is not a campus minibus available for any group, they will be sent an email directing them to Marshalls Self Drive Ltd (01524 67298), who will deal with the request and booking entirely independently of union staff.


Car

All car hires are made through Enterprise by the students' union activities staff, but only on receipt of payment from the group requesting the booking. There is the option to hire either a 4 or 5 seat vehicle.


Van

All groups looking for van hires are firstly directed to Marshalls Self Drive Ltd (01524 67298). They will then deal with the request and booking entirely independently of union staff. If they have the vehicle they wish to hire available for the date/s required they will

  • quote a price which will include the hire cost and the insurance cost
  • provisionally book
  • confirm booking when payment is made in full
  • arrange the insurance cover
  • provide relevant paperwork


I want to hire and drive a minibus for my group - how do I do this?


There is a check box on the driver registration form that allows you to indicate if you wish to take the minibus assessment. Please make sure that before you book the assessment, you are registered as a driver.


Assessments to become a minibus driver will then be offered to those that have stated interest on their driver registration form, once they become available. Please note that this is done on a first come first served basis, so if you become unable to take your test, let us know a.s.a.p. at su.activities@lancaster.ac.uk.


Once you have taken the minibus assessment then you will be able to hire a minibus. Please use this form to request hire of a minibus. 


I want to hire and drive a different vehicle for my group - how do I do this?


Simply fill in this form, and read the related selections above about the type of vehicle you are looking to hire.


Am I automatically insured as a driver?


When driving on students' union insurance, you will be required to collect paperwork from the students' union activities desk before your journey, in case of an incident or accident.


For our on campus minibuses, insurance has been arranged by the students' union to cover drivers of 21 and over at no extra cost to the group.


For any cars, minibuses or vans hired externally from our suppliers off campus, there is an overall insurance policy financed by the students' union. However there is an extra cost to the group for each 24 hour booking. Please see the document attached below for more information.


What happens if I damage the vehicle?


If the vehicle is involved in an accident that causes damage to the vehicle or to another vehicle, the group using said vehicle will be responsible for any repair costs. These costs could be the full repair costs or the insurance excess. This will be determined by the union on a case by case basis.


Where do I collect and drop off the keys?


Keys for the on campus minibuses are to be picked up from and returned to the activities team in the students' union. Ask at the front desk and they will point you in the right direction!


Keys for a hire car from Enterprise will be available to collect from the 24 hour reception building on campus, which is situation opposite the Chaplaincy centre.
